How To Set an Auto Reply in Outlook? – Microsoft Exchange User

Earlier in this article, you’ve learned how to set up an autoresponder using the Auto-reply rule function in Microsoft Outlook 365.

With Exchange accounts, Outlook allows you to set up an out-of-office auto reply that will be forwarded to anyone outside your network.

Microsoft does a great job of making each update to their products even more and more efficient than the last.

Automatic Replies for Microsoft emails are a tool you can use if you are aware that you need to send information in these replies at any given moment yet don’t have time to compose an email at that moment.

For example, if you’re out of the office or away from your desk, Automatic Replies will send out the message and will let people know that you are currently not available but will return shortly.

  • Open Microsoft Outlook
  • Click on File Tab >> info
  • Select Exchange Accounts from the drop-down list in case you have multiple accounts. 1 pic
  • Once you’ve selected “Exchange account”, you can see options below the page, some of them being “Automatic Replies”. This feature is not available with other email providers like IMAP/SMAP. 2 pic
  • Click on Automatic Replies and the separate dialog box appears. 3 pic
  1. Select check box automatic reply.
  2. In case you need to restrict automatic reply for specific time ranges you can select time range options and set start time and end time.
  3. Compose your automatic reply message in the text box, you like to send to your sender as soon as you receive the email message.
  4. Click Ok to complete.

If you work inside a company or organization, you may have additional options for your automatic replies:

  • Inside My Organization: This message is sent to messages received from others inside the same company or organization as you.
  • Outside My Organization: The message is sent to people outside of your organization. Select the Auto-reply to people outside my organization checkbox.

In case you don’t want to get in touch with clients through auto-replies, you can uncheck the “Do not send automatic replies” check box.
